Quote, quotation, estimate, invoice — which one do you send?
A quotation (or quote) is a fixed price you commit to for a defined scope; once the customer accepts it, you should not move the number without a written change. An estimate is your best guess at a job whose scope is not yet pinned down, and it is expected to move — usually within a stated tolerance. A proforma invoice is a quote formatted like an invoice, commonly used when the buyer needs a document to raise a purchase order or clear customs. The invoice comes last: it is the actual demand for payment, issued once the work is done or the goods have shipped. Sending an invoice when the customer expected a quote is one of the fastest ways to lose a job.
From quotation to invoice without retyping anything

- A quote is an estimate of cost sent before work begins; an invoice requests payment after the work is agreed or done.
- Is a quotation legally binding?
- A quotation is usually treated as an offer at a fixed price: once the customer accepts it within its validity period, you are generally expected to honour it for the scope described. An estimate carries no such commitment. This is why the validity date and the exclusions matter so much.
