What to include on a cash receipt
- “Cash Receipt”, a number and the date
- Who paid and who received the cash
- The amount received (in figures)

Why cash payments need a written receipt
A card or bank payment leaves a trail on both sides; cash leaves nothing. The receipt is the record — and it is the only thing standing between you and a customer who genuinely does not remember paying. Issue one at the moment of payment, keep a copy (a saved PDF is fine), and number them sequentially so a missing number is obvious. This applies just as much to rent, to a private sale, to a tradesperson taking a deposit on the doorstep, as it does to a shop counter.
What to write on a cash receipt
- Receipt number and date received
- Who paid and who received the money, both by name
- The amount in figures, and for larger sums in words as well
- What the payment was for — invoice number, rent period, item, or service
- Whether it settles the amount in full or leaves a balance, and what that balance is
- “Paid in cash”, plus a signature line if you are handing over a printed copy

- What should a cash receipt include?
- The date, the amount paid in cash, who paid and who received it, what it was for, and ideally a signature.
- Should a cash receipt show the balance remaining?
- Always, when it is a part payment. A receipt that shows only the amount handed over invites an argument later about what was still owed. State the total, the amount received, and the balance due.
- Is a handwritten cash receipt valid?
- Generally yes, if it contains the essential facts — date, amount, payer, payee, what it was for. A printed one is simply harder to dispute and easier to file, which is why most businesses moved to them.
