Receipt or invoice? The difference decides which one you send

An invoice asks for money; a receipt confirms money has arrived. Sending a receipt when payment is still outstanding — or an invoice for a sale that was paid in cash at the counter — is the most common paperwork mistake in small retail and service businesses. A sales receipt is proof of a completed transaction: it records what was sold, when, for how much, and how it was paid. Your customer needs it for returns, warranty claims and expense reporting; you need it as the primary record behind the sale in your books.

What belongs on a sales receipt

  • Business name, address and contact details, plus a tax/registration number if you have one
  • Receipt number and the date (and time, for high-volume retail)
  • Each item or service with quantity and unit price
  • Subtotal, tax shown separately, and the total paid
  • Payment method — cash, card (last four digits), transfer — and “PAID” stated plainly
  • Your returns or exchange window, which is where most receipt disputes actually start

Cash sales, deposits and part payments

Cash is where receipts earn their keep: with no bank record, the receipt is the only evidence the sale happened, so issue one every time and keep your copy. For a part payment, do not write a receipt for the full amount — record the amount received and the balance still outstanding, so both documents agree. Deposits work the same way: the receipt shows the deposit paid, and the final invoice shows the deposit deducted from the total. If you refund a sale, issue a separate refund receipt referencing the original number rather than destroying or amending it.

What is the difference between a sales receipt and an invoice?
An invoice requests payment for goods or services and shows a due date; a sales receipt confirms payment has already been made and shows the method. Same transaction, different moment — and different tax treatment in your books.
Do I have to give a receipt for a cash sale?
Rules differ by country and by transaction size, but as a practical matter you should: with no bank trail, the receipt is your only record of the sale, and customers routinely need one for expenses, warranties or returns.
