What separates an invoice that gets paid
The information above is the minimum. What actually shortens payment time is a handful of small choices: a specific due date rather than “net 30” alone, since a date needs no arithmetic; the client’s PO or reference number, without which many accounts-payable systems cannot route the invoice at all; descriptions written in the client’s language rather than yours; and payment instructions on the invoice itself instead of in the covering email, which gets separated from the attachment the moment it is forwarded. Sequential invoice numbers with no gaps matter too — they make your records auditable and they make chasing a specific invoice unambiguous.
Common mistakes worth checking before you send
- Wrong or missing due date — the single biggest cause of late payment
- Billing the trading name instead of the client’s legal entity, which stalls approval
- No PO or reference number where the client requires one
- Tax applied at the wrong rate, or shown inclusive when the client expected exclusive
- Reused or duplicate invoice numbers, which break your own reconciliation
- Sending to a personal contact rather than the accounts-payable address
